Privacy Notice

1. Who we are

Pawsport is operated by Samantha Wolhuter, a sole trader based in South Africa, trading as Pawsport. For the personal data described here, Samantha Wolhuter is the data controller — meaning we decide why and how your data is used. Contact: hello@pawsport.app.

2. What we collect and why

• Account data (name, email address, login credentials) — to create and secure your account and communicate with you about the service. Legal basis: performance of our contract with you.
• Pet and content data (pet profiles, photos, stamps, uploaded documents such as vaccination records, care notes, emergency contact details you choose to enter) — to provide the Pawsport service itself, including sharing links and printable summaries you request. Legal basis: performance of our contract.
• Support messages — to answer your questions. Legal basis: performance of our contract and our legitimate interest in supporting users.
• Usage and technical data (device and browser information, IP address, pages viewed, error logs) — to keep the service secure, prevent fraud and abuse, diagnose problems and improve the product. Legal basis: our legitimate interests.
• Subscription status (plan, status, renewal dates, and an identifier from our payment provider) — to give you access to paid features. Legal basis: performance of our contract. Card details never reach us.
• Marketing emails, if you opt in — legal basis: your consent, which you can withdraw at any time.

Emergency contact details you enter about another person are your responsibility to share with us; please only add them if that person is comfortable with it.

3. Who we share data with

• Service providers / subprocessors — cloud hosting and database providers who store the app and your content, error-monitoring tooling, and the AI provider that performs document text extraction when you use that feature.
• Paddle, our Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing.
• Professional advisers (legal, accounting) where necessary.
• Authorities where we are required to disclose by law.
• People you choose — anyone you send a sharing link to can see the pet information that link exposes.

We do not sell your personal data.

4. International transfers

Our providers may store or process data outside South Africa, including in the EEA, the UK and the United States. Where data leaves the UK/EEA we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

5. How long we keep it

We keep your account and content for as long as your account is active. If you delete your account, we delete or anonymise your personal data within 30 days, except where we must keep limited records longer for legal, tax or fraud-prevention reasons. Backups are cycled out on a rolling basis.

6. Your rights

Depending on where you live, you have the right to access your data, correct it, delete it, restrict or object to processing, receive a portable copy, and withdraw consent. Under South Africa's POPIA you may also complain to the Information Regulator; under the UK/EU GDPR you may complain to your local supervisory authority. Email hello@pawsport.app and we will respond within one month.

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, row-level database permissions so you can only reach your own records, and restricted administrative access. No system is perfectly secure, but we take this seriously — your pet's medical documents are private by default.

8. Cookies and local storage

We use essential cookies and browser storage only — to keep you signed in, remember which pet you are viewing, and keep the app working. We do not use advertising cookies. If we ever add analytics or marketing cookies, we will ask for your consent first and give you a way to manage your preferences. You can clear or block cookies in your browser, though signing in will stop working.

9. Children

Pawsport is not intended for children under 18. We do not knowingly collect data from them.
