Terms & Conditions

Last updated 7 August 2026

1. Who you are contracting with

Pawsport ("Pawsport", "we", "us") is operated by Samantha Wolhuter, a sole trader based in South Africa, trading as Pawsport. By creating an account or using the service you enter into an agreement with Samantha Wolhuter. You can reach us at hello@pawsport.app.

2. What Pawsport is

Pawsport is a web application that lets pet owners build a digital passport for their pet: a profile, travel and memory stamps with photos, and a Document Vault for vaccination records, medical information, care instructions and emergency contacts. Some features are free; the Document Vault and related features are offered on a paid subscription.

Pawsport is a record-keeping tool. It is not a veterinary, legal or border-control service, and it does not replace official documents required by vets, airlines, border authorities or any other body. You are responsible for checking and carrying whatever official paperwork your situation requires.

3. Acceptance of these terms

By creating an account or continuing to use Pawsport you agree to these terms. If you do not agree, please stop using the service. We may update these terms from time to time; material changes will be notified in the app or by email, and continued use after that means you accept the updated terms.

4. Your account

  • You must be of legal age to enter into a contract in your country.
  • If you sign up on behalf of an organisation, you confirm you have authority to bind it.
  • You must give accurate information and keep it up to date, and keep your login credentials confidential. You are responsible for activity under your account.

5. Acceptable use

You must not:

  • use Pawsport for anything unlawful, fraudulent or abusive;
  • upload content you do not have the rights to, or that infringes anyone's rights;
  • upload malware, probe or interfere with the security of the service, scrape it, or attempt to circumvent plan limits or technical restrictions;
  • reverse engineer, resell or redistribute the service;
  • upload content that is unlawful, hateful, or that depicts animal cruelty or harm.

6. Your content

You keep ownership of everything you upload — photos, documents and notes. You grant us a limited licence to host, store, process and display that content solely so we can provide the service to you (including generating shareable emergency pages and printable summaries at your request, and running document scanning where you choose to use it). We do not sell your content or use it for advertising.

7. Document scanning and automated features

Pawsport can read text from documents you photograph and pre-fill fields for you. These automated results can be inaccurate or incomplete. Always check the extracted information against the original document before relying on it. Automated output is not veterinary advice.

8. Sharing links

You can create links that give a sitter, vet or family member limited access to a pet's information. Anyone holding the link can view it, so share it carefully. You can revoke a link at any time from your account.

9. Our intellectual property

We retain all rights in the Pawsport service, including its software, design, illustrations, branding and documentation. You get a limited, non-exclusive, non-transferable right to use the service within the plan you have selected.

10. Payments, subscriptions and taxes

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

Payment, billing, renewal, tax and cancellation mechanics are governed by Paddle's Buyer Terms. Paid plans start with a 14-day free trial and then renew automatically for the period you chose (monthly or annual) until cancelled. You can cancel at any time and keep access until the end of the paid period.

11. Refunds

See our Refund Policy.

12. Service level

We work hard to keep Pawsport available, but we do not guarantee uninterrupted or error-free performance. Maintenance, third-party outages and factors beyond our control can affect availability.

13. Warranties and liability

To the fullest extent permitted by law, the service is provided "as is" and we disclaim all implied warranties, including merchantability and fitness for a particular purpose. We are not liable for indirect, consequential or special damages, including loss of profits, data or goodwill. Our total aggregate liability is limited to the fees you paid in the 12 months before the claim. Nothing here excludes liability for fraud, death or personal injury where the law does not permit it.

14. Indemnity

You indemnify us against claims arising from your content, your unlawful use of the service, or your breach of these terms.

15. Suspension and termination

We may suspend or terminate your access for material breach of these terms, non-payment, security or fraud risk, or repeated or serious policy violations. Where reasonable we will warn you first. You can close your account at any time. After termination you will have a reasonable window to export your content before it is deleted.

16. Assignment, force majeure and law

You may not assign this agreement without our consent; we may assign it as part of a merger, acquisition or sale of the business. Neither party is liable for delays caused by events beyond their reasonable control. These terms are governed by the laws of South Africa, and the South African courts have jurisdiction.
